Minutes of Spring Meeting approved as distributed and posted on the website.  

GUEST SPEAKERS

Tom Farquar (on behalf of Jim Capron) reviewed the “Race Officials at the US SAILING Championships” document and answered questions.  It is effective immediately, check with your host clubs on their compliance and check with Race Management, Judges Committee or Umpire Chairman, if there are any questions. 

Marlieke de Lange Eaton MarliekeEaton@ussailing.org  spoke on the communications opportunities for the Championships.  i.e. E US SAILING, pre and post news releases, website feature story content and plans to feature each championship on the home page during the winter.  (See Marlieke Eaton for document) 

Jack Gierhart JackGierhart@ussailing.org  discussed producing a Championships’ Program that would include more information on the championships than what is available on the poster.  He requested that the Chairs of the Championships email him a brief description of their event to use in the program as well as a brief description on the 2004 event.  There was discussion and a number of compliments on the championship poster and it was strongly advised to keep a poster of some type to promote/advertise the championships.
The marketing department has developed a template regarding the production of “Trade Marks” for the individual Championships.  Anyone interested in producing a mark, contact Jack. 
Reminder to return the excel spreadsheet that he sent out in the beginning of the year regarding participation at the events. 

Lee Parks LeeParks@ussailing.org on behalf of Tom Fendler, discussed trophy procedures developed by Tom Fendler.  If you need them emailed to you, contact Lee.  It was recommended that each committee assign the responsibilities of their trophies to someone on the committee.  Once assigned, please have that person contact Tom Fendler, the Championships Trophy Chair. 

Mark Gardner WebMaster@ussailing.org worked with some committees’ web liaisons at this meeting.  He suggests a web liaison for each event to report daily during the event.  Someone available to post on the web 24/7. 

Committee lists – Please get your current Championships’ Committee list to Karen in order for her to get it to the Board for acceptance 

Clinic request and report forms were distributed with a request that they be returned to Karen by December 1st.  Distribution of clinic money will be decided by January 1, 2004. 

REMINDERS

Thank yous are important.  Please thank your hosts, sponsors, suppliers, etc.  Especially Rolex & Vanguard.

Committee Chairs responsibility

·         It is your responsibility to attend your championship.  If you cannot, appoint a qualified representative.

·         Work with the Class Association regarding what is best to do with the class of boat to be used in your respective championship.

·         Use Championship SI’s as guidelines.

·         Get a budget from the host club.

·         Save documents/programs, etc. to pass on to the next host clubs.

·         Include “Race Officials” document in bid package for new sites. 

Terms of Reference (TOR) – Review your terms annually.  Email your current TOR to Karen Reisch reischjr@aol.com and post on your championship’s website. 

Old Business

The history of the Offshore Championship’s participation in the “per person US SAILING fee” was discussed.  Historically, when in Long Beach,  

Championships Reports were given and the Planning Calendar (www.ussailing.org/championships/planningcal.asp) has been updated. 

Sailor Athlete Advisory Council (SAAC) www.ussailing.org/saac reminder to register as athlete online. www.ussailing.org/saac/Athletes/register.asp    

New Business

Online Registration was further discussed and all participants of the 2004 Championships are to go through the system.  Add your National and Ladder Events to the US SAILING online calendar www.ussailing.org/calendar.  Contact Lindy Christofersen@ussailing.org  for details or if you have any questions.
